Webmail Backup email in Roundcube or Horde

Follow the following steps on how to backup email in roundcube or horde:

  1. Access webmail on your domain, for example, if your domain is www.yourdomain.com then you can access your webmail on www.yourdomain.com/webmail.
  2. Once logged in, you have two options for a mail client, Roundcube or Horde. Choose one.
    NOTE: Roundcube does not have an option to backup many emails at once, this can however be accomplished using horde.
    a) Roundcube – if you are using roundcube as your mail client, select the email you want to backup by clicking on it once; when it is selected, click on the More… icon located on the top bar. This will bring out a drop-down menu with different options to choose from, click on export. Your email will be downloaded to your computer as a .eml file
    b) Horde – if you are using horde as your mail client, select the email you want to backup by clicking on it once; when it is selected, click on the other options marked by a + icon located on the top right hand side of the email. This will bring out a drop-down menu with different options to choose from, click on save. Your email will be downloaded to your computer as a .eml file
  3. Most likely would have been saved in your downloads folder. Find it and save it in your email back up folder.
    NOTE: Email (.eml) files are supported by most email clients, so they can be easily restored on another server or email client.

Back up all emails

Using Horde you can back up folders. For example, you can back up your whole inbox or sent messages folder all at once. To do this, select the folder you want to back up by clicking it once. When it is highlighted, right click the folder and a drop-down will appear then click on export. You will be asked to choose a format (zip compressed will save you space). Then click save. The folder will be downloaded to your computer, most likely in your downloads folder. Find it and save it in your email back up folder. Why should you backup email in roundcube or horde

Your emails contain important business information that you would not want to lose. It is therefore critical that you make a backup so that you have a way to recover your data in case the unexpected happens to your inbox.

You may lose your emails:

  • If you delete them by mistake
  • In case your mailbox is somehow corrupted with a virus
  • In case of a hardware failure
  • If someone accesses your mailbox

Backing up email in roundcube will also become useful when you have to move your emails to another server for example, if you decide to change your hosting company. It is therefore paramount that you backup email in roundcube or horde to be on the safe side.
